NJ TRANSIT Health Advisory (COVID-19) Vaccines

ATTENTION EMPLOYEES:
NJ TRANSIT HAS RECEIVED A LIMITED SUPPLY OF COVID-19 VACCINES
NJ TRANSIT has received a limited supply of COVID-19 vaccines from the New Jersey Department of Health (NJDOH), and we plan to begin administering these vaccines to eligible employees on Thursday, March 4. Vaccine centers have been set up exclusively for NJ TRANSIT employees at our Medical Offices in our General Office Building in Maplewood and our Newton Avenue administration building in Camden.
At this time, only active, frontline, public-facing NJ TRANSIT employees (Police Officer, Bus Operator, Conductor, Assistant Conductor, Locomotive Engineer, Customer Services Representative, or other public-facing employees) who also meet the current NJDOH vaccination eligibility requirements are permitted to receive the vaccine here at NJ TRANSIT. Today, these groups include:
- Paid and unpaid healthcare workers
- Residents and workers of long-term care and high-risk congregate care facilities
- First responders including sworn law enforcement and fire professionals
- Individuals aged over 65
- Individuals aged 16-64 that have certain medical conditions that increase the risk of severe illness from the virus
For more information on these categories, please see: Who is eligible for vaccination in New Jersey?
If you are an active, frontline, public-facing NJ TRANSIT employee AND in one of the eligibility groups above and would like to sign up to receive a vaccine through NJ TRANSIT, please visit the following registration link, which will be active at 6 a.m. on Wednesday, March 3rd: https://booknow.appointment-plus.com/cxyvqev6/ or use the following QR code:

When you complete the process, you will receive a confirmation email that includes the date, time, and location of your appointment, as well as links to important information and documents that will help streamline your vaccine clinic visit.
We ask that you be patient during this process. As our supply is currently limited, we recognize that it may not meet the current demand. Rest assured, we are continuing to work with the NJDOH to secure additional supplies.
Employees who are not frontline and public-facing but otherwise meet the current NJDOH vaccination eligibility requirements above are strongly encouraged to pre-register for a future vaccination through New Jersey’s COVID-19 Vaccine Scheduling System at https://covidvaccine.nj.gov/.
Eligible employees are also strongly encouraged to make an appointment for vaccination at a State-approved site. The full list of vaccination sites in the State, broken down by county, can be found here.
To learn more about the State’s vaccination plan, please visit the State’s vaccination information page: https://covid19.nj.gov/pages/vaccine.
You can also visit the Centers for Disease Control & Prevention “Questions & Answers” page to learn more: https://www.cdc.gov/coronavirus/2019-ncov/vaccines/faq.html.

Please remember that the vaccine is not a replacement for wearing PPE, distancing, and regular hand washing. NJ TRANSIT employees must continue these essential practices, even after receiving the vaccine.
We are excited by the opportunity to implement this powerful new tool to keep our employees safe from the COVID virus. We believe the vaccine will add yet another layer of safety to the measures already in place, particularly our aggressive and extensive cleaning and disinfecting protocols.

Mileage Update
An update on mileage, as of February 1, 2021 all mileage that was given to the “emergency task force” for the period of January 1, 2020 through August 31, 2020 has been processed and sent to AP for payment.
Due to the volume of mileage amassed during that period there are severe issues of “missing” sheets, the following process was agreed to by the carrier and the organization.
If you have missing mileage that was not paid from October 1st, 2019 through August 31st, 2020
- Please SCAN and send as a pdf, do not send pictures a secretary or supervisor can assist
- Scan those sheets and send to sspratt@njtransit.com , we will then forward them to the department responsible for payment, they will confirm with us that they were processed and sent to AP, we will notify via email you when this is done.
- If you do not have the sheets either make duplicates or wait until we can have the department responsible for the scantron, the process available to retrieve them, these will also need to be sent via email to sspratt@njtransit.com
- If you can not scan from home see a trainmaster or secretary, ask them to scan to sspratt@njtransit.com or my CROP “SFS”
- The deadline to submit is March 31, 2021
If you have missing mileage that was not paid prior to January 1st 2020 or after September 1, 2020 submit on local 60 site under payroll shortage form Payroll Shortage Form (utulocal60.com)
If you have mileage that was denied due to timelines for either time periods submit on local 60 site under payroll shortage form Payroll Shortage Form (utulocal60.com)
We will post updates as we progress through this process
As a reminder mileage is to be submitted as soon as possible, you can not put more than one month on a sheet, so for example if you have a sheet with one line for January 31st do not use the next line for February 1, start a new sheet and scan that sheet with one line.
You should fill out the entire seven lines in a month then scan it, you have thirty (30) days from last date on sheet to submit.
Tolls should be on separate sheet with receipts attached
If you are on a flag assignment one line is to be used for traveling to and from sign up location, another line for travel to and from flag site, use more than one line if you travel to multiple locations, write MP and line and please print clearly.
The carrier is working on a new system to be available soon for timecard and mileage submission that would be completely electronic, the organization is hopefully optimistic this can happen.
